Description

The Customer Service Assistant is responsible for receiving and addressing public inquiry by phone, email and in person regarding services provided by the Municipality of Port Hope; and providing related administrative and clerical support to the public and the respective departments.

Finance Department:

The position includes: Processing revenues received through the Finance Department via in person, mail, online banking, electronic funds transfer and processing miscellaneous invoices.

It will be for approximately twelve (12) months, with an expected start in July.

Protective Services Department:

The position includes: Work within the FirePro system which includes sensitive and confidential information pertaining to service calls.

It will be for approximately eighteen (18) months, with an expected start in September.

Compensation

$23.59 - $27.78 per hour

Key Qualifications

  • High school Diploma plus additional program related courses in business, office administration or related field.
  • Two (2) to three (3) years of experience in reception, customer service and/or administrative support.
  • Finance: Experience in accounting, finance or related field would be an asset.
  • Protective Services: Experience with FirePro or related software would be an asset.
  • Valid and satisfactory Criminal Record and Judicial Matters Check.

Key Responsibilities

  • Demonstrate high customer service standards, address inquiries (face-to-face, via phone or email) regarding services provided by the Municipality of Port Hope and direct the public and residents (“customers”) to the appropriate contact as required.
  • Receive incoming phone calls, fax or email from customers; record public complaints and or requests for service; relay communications on behalf of staff; forward information to the appropriate contact; and provide statistical reporting of service requests/issues, noting action taken. 
  • Assist the customers with various service requests, including but not limited to the completion of the information on documents, receiving payment of fees and managing related records and statistics.
  • Contribute to the ongoing development of staff and customer reference documents as they pertain to customer service and other aspects of their role, which may include website and social media updates.
  • Collect, sort, date stamp and distribute mail to departments; prepare and send courier packages, receive and distribute deliveries.
  • Ensure all payment transactions are recorded, and subsequently count and balance the financial deposit as required, prepare supporting documentation and secure the deposit until it is transferred to the Finance Department.
  • Perform a variety of administrative and clerical support tasks such as filing, photocopying; scanning, faxing; scheduling of meetings/rooms; typing labels, letters, envelopes; drafting, transcribing, formatting and distributing correspondence, minutes, reports; record, track and tabulate statistics, ordering supplies and products for the department.
